Creating IRis query.
Creating IRis query could be often
confusing. To make it little bit easier, break the
process into two steps:
In Step A: clearly define what are
you looking for.
In Step B: decide what fields you
want to include in your report.
Example:
You are looking for all the
programs that have a name, and include Email addresses.
You don’t need any other programs. In your report you
want to include only 3 fields: Name of the program,
Address of the program, and Email address.
Note: Newly created programs could
be saved without entering a name, and you don’t want
these to be included in your report.
Step A
- Open
IRis, go to Options -- Supervisor Menu – Reports
– IRis Query
- Double
click on Program/Agency records
- Click
on “Add” button and enter title of your query.
(i.e. Programs-Email addresses)
- Click
on “OK”
- In
“Step1: Select a Field”
click on Programs:Referral
Name. Setting up this condition, IRis will
know to search for name of the program. You can
select other field, depending on what are you
searching for.
- In
“Step2: Pick an Operator”
you can select “Is not an
empty field”. It means that IRis will look
for all the programs that have some entry in the
field “name”. If you were looking for all the
programs that contain for example “TER”
(as in CENTER), you
would select “Begins with or matches” and type
in TER.
- Click
“OK” on question: “Finished creating this
condition?” Now, because you want only the
programs that have some name, AND out of these
programs you want to list only these that have email
addresses:
- Click
on “Add” and than on “AND” buttons.
- This
will take you again in the “Step
1: Select a Field”, where you would select
“Pgms:E-Mail Addresses”
- In
“Step2: Pick an Operator”
you can select “Is not an
empty field”.
- Click
on “OK”. In case you want to add another
condition to your query, you can of course click on
“Add” again and repeat the process.
- After
you are finished with creating condition, click on
“OK” button.
- Highlight
the name of the query you have just created (i.e.
Programs-Email addresses) and click on “Select”
button.
Step B
- You
can chose as many fields as you want in “Fields to
pick from” window by double-clicking on a field
you want to be included in your query. For example,
if you move: Programs:Referral Name,
Programs:Referral Address1,
and Pgms:E-Mail Address to the right side of
the window, these 3 selected fields will be in your
query. Than click on “OK”.
- Click
on “Run” button. This will show you all the
programs that meet your query.
- Hit
“Esc” on your keyboard, and click “Yes” on
question if you want to continue.
- Report
Setup screen will open, and I would recommend
selecting: Send
output to the Screen first before you print
it, so you can see how it’s going to look. Than
click on “Start Report”

Tech Tip
Q
We just bought a new server. What is the best way
to move IRis from the existing server to the new
one?
A
With IRis 2.3, all you need to do
(after setting up the new server) is: Go to the IRis
folder on the old server, R-click on it, select
Copy, navigate to the correct drive on the new
server, R-click and choose Paste.
